Communication templates define how messages are sent to:
  • Candidates
  • Team members

They help standardize communication across different stages of hiring.

    When to use this

    Use this when you need to:
    • Understand how communication is structured in the system
    • Review available templates
    • See how emails and events are organized

    Use this before creating or editing any templates.

      Open Communication Templates

      • Go to Recruitment
      • Click Communication Template

      This page opens with the Email tab selected by default.

        Page structure

        Left panel

        Includes:
        • Email
        • Events

        Use this to switch between communication types.

          Right panel

          Shows templates based on the selected tab.
          Templates are grouped by hiring stages.

          Types of communication templates

          Email templates

          Used for sending emails during the hiring process.

          Stage-based templates

          Linked to specific hiring stages such as:
          • Applied
          • Screening
          • Interview
          • Offer
          • Hiring

          Each stage can have its own templates.

            Special templates

            Used for communication not tied to a stage:
            • Disqualification
            • Onboarding
            • Global
            Used for:
            • Rejection messages
            • Post-hiring communication
            • General-purpose emails

            These may follow different rules than stage-based templates.

                Event templates

                Used for scheduling and managing hiring-related events.
                Used for:
                • Calls
                • Interviews

                These standardize event communication.

                  How templates are organized

                  Templates are grouped by stage.
                  Each stage can include:
                  • Default template
                  • Additional custom templates

                  This allows consistency with flexibility.

                    Default behavior

                    The system provides default templates for common stages.
                    Important:
                    • Default templates act as a base structure
                    • Some may have restrictions on editing or adding new ones

                    Why this matters

                    If communication is not structured:
                    • Candidates receive inconsistent messages
                    • Important details are missed
                    • Hiring communication becomes unclear
