Stage Configuration

Define and manage stages within a hiring pipeline.

Stages control:
  • How candidates move through hiring
  • What each step represents
  • How the hiring process is structured

Each stage is checkpoint in the recruitment process.

    When to use this

    Use this when you need to:
    • Add new stages to a pipeline
    • Modify existing stages
    • Adjust hiring flow for a role or department
    • Align stages with your actual hiring process

    Do not use this to manage candidates directly.

      Where to configure stages

      • Go to Recruitment
      • Click Pipeline Process
      • Select a pipeline from the left panel

      Stages are shown in the right panel.

        Understand stage structure

        Phases

        Stages are grouped into phases:
        • Outreach & Application
        • Screening & Evaluation
        • Finalization & Onboarding

        Each phase contains multiple stages.

          Default stages

          A standard pipeline includes:
          Outreach & Application

          • Applied

          Screening & Evaluation

            • Phone Screening
            • Assessment
            • Interview

            Finalization & Onboarding

              • Document Verification
              • Offered
              • Hired

              Manage stages

              Add a stage

              You can add stages in the Screening & Evaluation phase.
              Steps:
              • Click Add New Stage
              • Enter stage name
              • Select stage type
              • Click Save

              Edit a stage

              You can update:
              • Stage name
              • Stage type

              Be careful:
              Changing stage name affects how your team understands the process.

                Delete a stage

                Use this to remove a stage.
                Be
                 careful:
                • Deleting a stage may disrupt the hiring flow
                • Do not remove stages that are actively used

                Stage-level configuration

                Each stage can include:
                • Automated email configuration
                • Document requirements (for specific stages like Document Verification)

                These are configured separately.

                  How to think about stages

                  A stage is not just a label.
                  It must represent a clear decision point.
                  Examples:
                  • "Interview" -> clear
                  • "Discussion" -> vague

                  If a stage does not clearly define what happens, it should not exist.

                    What to be careful about

                    • Too many stages slow down hiring
                    • Too few stages reduce visibility
                    • Poor naming creates confusion
                    • Inconsistent stages across pipelines break reporting

                    Keep stages simple, clear, and consistent.
